Creating a Sample Location

This guide walks tenant administrators through creating a sample location within their facility using Happy Bugs.

Overview

Sample locations are the points within your facility where samples are taken and tests are configured — for example, an outfall or an aeration basin. Every sample location belongs to a site, so you set locations up under a site before you can configure tests at them or record results against them. This guide covers creating a single sample location through the Add location dialog.

Prerequisites

Before you can add a sample location, at least one site must already exist. Sites are created separately using the Add site action on the same screen, which is not covered here.

If no site has been created yet, the Facility & Tests screen shows the message "No sites yet. Add your first site, then its sample locations, then configure tests at each location." and no option to add a location appears anywhere on the screen. Create a site first, then return to add locations under it.

Creating a Sample Location

  1. Open Facility & Tests from your admin navigation. The screen is titled Facility & Tests and lists each of your sites.
  2. Find the target site in the list. Each site appears as an expandable section showing the site's name. Make sure the section for the site you want is expanded so you can see what's inside it.
  3. Tap "Add location" in that site's expanded section. This row, marked with a plus (+) icon, appears beneath any locations the site already has.
  4. Enter the location name in the dialog. The dialog is titled Add location at {site name} for the site you chose, and it has a single field labeled Location name with example hint text reading "e.g. Outfall 001, Aeration Basin". Type a clear, recognizable name for the sampling point.
  5. Tap "Create" to save the location. If you decide not to add it, tap Cancel instead to close the dialog without making any changes.
  6. Confirm the new location appears. Once the location is saved, the dialog closes and the new location shows up as a row under its site. You can now select it to configure the tests recorded at that location.

Troubleshooting

The "Add location" option isn't visible

  1. Check that a site exists. If you see the "No sites yet…" message instead of a list of sites, no site has been created. Add a site first using the Add site action, then add locations under it.
  2. Expand the site's section. The Add location row only appears inside a site's expanded section. If the section is collapsed, expand it to reveal the add-location option.
  3. Confirm you are on the right screen. The location controls live on the Facility & Tests screen. If you don't see them, navigate back to that screen from your admin navigation.

Creating the location fails

  1. Read the on-screen message. If the location can't be created, an error message appears and the dialog stays open, so no work is lost.
  2. Check the location name and try again. Make sure you entered a name, then tap Create again from the still-open dialog.
  3. Retry after a short wait. A temporary connection issue can cause a failure; waiting a moment and retrying often resolves it.
  4. Contact HBDS support if the problem persists after retrying.

Who to contact
